Your doctor will advise you when to expect your test results to be back. In general, we encourage you to book an appointment to see your doctor to follow up your results within 1-2 weeks after you have had your blood tests, X- rays or other investigations.

Our practice encourages you to take personal responsibility for your health, thus it is your responsibility to obtain your results. Phone interruptions during the course of a consultation can be very distracting for both the doctor and the patient so in the best interest of all of our patients, most queries are best dealt
with by a follow-up consultation.

Our reception staff and our nursing staff will not discuss your results over the phone. The details of your results remain confidential
between yourself and your doctor.

Any URGENT results will be notified by your doctor or a staff member under the supervision of your doctor.

We have in-house pathology services at mots of our clinics for your convenience and to facilitate timely service. 

General Practitioner Appointments 

A standard consultation is usually 10-15 minutes depending on the Doctor’s appointment schedule.   If more than one family
member needs to be seen, please schedule an appointment for each family member.  If you have 3 or more different issues or a more complex concern that you need to discuss with your doctor, please book a long (not standard) appointment with our receptionists. Long appointments are also available via our online booking platforms, for some doctors.

The appointment type for specialised service is different for a standard consultation. Examples of such specialised service is Full skin check, Ear Clinic (ear wax suction with an ENT microscope), Acupuncture, Pre- employment medicals and many others.

Some clinics offer specialised service appointments via our online appointment booking system and some require you to call and arrange an appointment. If the appointment type of is not offered in the online booking system, please call the relevant Top Health Doctors branch to book.

We request photo ID for ALL new patients.

Reception staff will often attempt to contact you if there is any significant unforeseen delay or if the doctor has been called away. Hence, please always keep your contact details up to date.

If there are no vacancies with your usual GP, you will be provided with the option of seeing the available doctor.

Medical emergencies amongst our waiting patients will always be given priority. Our reception staff will attempt to update you on the progress of your scheduled appointment. Please inform us if you think you have an emergency (e.g., sudden onset of chest pain or sudden onset of shortness of breath).

What to do if we are fully booked and you need to be seen?

If you give the receptionist an idea of what the problem is they will try their best to fit you in. Urgent appointments will always be seen if you indicate this when you call to book the appointment. Urgent medical problems will be dealt with promptly by the first available doctor.

Continuity of Care

It is in your best interest to have a regular doctor. It is very important to see and speak to the same doctor to follow through on a problem. Valuable information may be lost if you change doctors frequently. So wherever possible, speak to/ see the same doctor who ordered your tests and has been following your condition.

Reminders 

Our practice is committed to preventative health care and to make sure your health conditions are followed – up appropriately.  If you do not wish to receive reminders, please advise your doctor or inform the reception staff.

Medical Certificates, Prescriptions and Referrals

These will not be given without a consultation. Please discuss this with your doctor if you have any concerns.

Medical Certificates will not be issued for non-medical reasons apart from bereavement or family support. The patient must be seen at the time of illness to write a certificate. They cannot be back – dated.

NO Narcotics or Drugs of Addiction

Modern medications are potent and can lead to harmful side effects if taken inappropriately. It is important that you be regularly reviewed while on medication to check for any possible side effects, and to receive updates on whether it is still the best one for your condition.

This practice does not prescribe narcotics or drugs of addiction, for new patients (except for patients registered under the Opiate Substitution Program, under our specialised services).

Mobile Phones

Please turn all mobile phones off or switch to silent while in the practice. Please be aware that talking on the phone is disruptive to other patients. We ask that you take the call outside the clinic. Calls should not be answered during consultation.

Aboriginal / Torres Strait Islanders

We respect Australian first inhabitants and we are aware of the different health needs of Aboriginal and Torres Strait Islander people. We pursue Close The Gap government initiatives to enhance your health care needs.  Many of our practices are registered for the Practice Incentives Program (PIP) Indigenous Health Incentive. We can provide patients of Aboriginal and Torres Strait Islander background Closing The Gap (CTG) annotated scripts.

As Covid-19 is still ever present in our community, we have a Covid-19 plan for protecting our staff and patients.

Covid-19 Symptoms

Top Health Doctors group requests that any individuals who is diagnosed with Covid-19 or had contact with someone diagnosed with the coronavirus within the last 7 days: Please do not attend our medical centres and kindly contact the clinic so that we can arrange the best means to care for you.

Masks

Masks are an important protective means for you and those around you. We request patients to please wear a mask when entering our clinics if they have symptoms and please ensure you speak to our reception prior to an appointment to discuss your care.

Rapid Antigen Testing

We request patients who is experiencing respiratory symptoms (runny nose, sore throat, fever, cough, difficulty breathing) to have a Rapid Antigen Test (RAT). The RAT test result needs to be confirmed negative, before coming for a face-to-face consultation within our clinics.

Top Health Doctors Underwood Clinic

The Underwood Clinic has a private isolation area behind the clinic to be attended if directed by reception staff.  Please be advised there may be an extra cost incurred if Rapid Antigen test is used on a patient.

Covid-19 Patients and Telehealth

Many patients who have been diagnosed with Covid-19 and have mild to moderate symptoms will be able to isolate and stay at home until they have recovered. Such patients will be supported via Telehealth appointments.

Top Health Doctors Clinics are Private Billing or Mixed Billing clinics.  Some of the billing information is published under the web page of the individual branch and also under the online booking App (e.g., like Hot Doc). We also welcome you to contact our staff of the relevant clinic, to enquire our associated gap fees for our services. Some doctors may bulk bill you, if you are in a difficult financial situation.

Private fees are charged for patients who DO NOT hold a current Medicare Card.

Allianz and Bupa Overseas Health Cover patients: These appointments are charged at private rates (no bulk billing available). Top Health Doctors requires payment on the day of the appointment. We will provide you with an invoice/receipt for you to provide to your overseas health fund for claiming back your medical expenses, where applicable.

Non-Attendance FEE (DNA)

Please kindly inform our receptionist to cancel your appointment at least 3 hours beforehand if it is no longer needed so that your appointment slot can be reallocated.  Failure to attend a scheduled appointment without informing us beforehand, without a valid reason for cancellation, may result in a penalty fee.  

Patients who do not attend their appointments without notice more than 2 times, will be charged a $50.00 DNA fee. This is strictly enforced at all Top Health Doctors branches.

We are happy to transfer care over to your new nominated doctor. There may be a fee to prepare a summary.

The cost of a copy of full records is higher due to the time involved in the preparation and review that is required. A quote will be given on request. We shall email it, fax it or post it to your new doctor upon receipt of payment. A signed release form should accompany any request for transfer from the patient to their continuing care doctor.

We constantly strive to give you the best possible care and attention. We value your feedback and have left forms in the waiting room to complete with any complaints or suggestions you may have. Alternatively, please ask to see the designated team leader of our Top Health Doctors branch regarding your concern, which will be fully investigated and appropriate action taken.

Why Do Doctors Run Late?

Doctors run late at times because:

1) Doctors have to deal with unexpected emergencies. A patient may present with a medical problem that requires urgent attention and extra tests such as a heart attack like chest pain that requires an ECG, or a laceration that needs sutures.

2) Some days, it can be very hectic for the doctor with numerous interruptions such as phone calls from hospitals, pharmacies, community nurses, allied health, faxes with urgent requests for information, reports and scripts.

3) Patients sometimes arrive late for appointments, hence patients at appointments later in the day are affected.

4) Patients do not book enough time for the problem they have come with.
For example, people may present with difficult emotional issues that take more time than expected. In other times, patients have an extensive list of problems they want to discuss but booked only a short appointment. In this situation, it is important to discuss the more important problems first and rebook further appointments at a later date to resolve the rest.

How Do You Minimise Your Waiting Times?

1) Come well prepared
Make sure your Medicare card is up to date. Prepare a note about your symptoms and past medical history. In addition, it is helpful to have a list of your current medications and allergies. This will facilitate your doctor to get through your problems more efficiently and allow more time for your consultation.

2) Be punctual
It is fundamental in reducing your waiting time. If you arrive late, most doctors will move onto the next patient, who arrived early or on time.

3) Check with the receptionist regularly after you have arrived
We recommend whilst you are waiting, to check with our staff every 20 minutes whilst you are waiting to ensure you have been logged into the appointment system. Occasionally, patients who arrive on time were not successfully computed into the medical appointment system and may be waiting for protracted times until it is realised much later.

4) Let the receptionist / nurses know if you are here for a care plan / health assessment, pre-employment medical, pregnancy test, breathing test (spirometry) etc so these tests can be performed while you are waiting to see your doctor.

5) Ring the receptionist to make sure your doctor has received the reports of your investigations beforehand especially if you are doing 3-4 different complex investigations. Sometimes, certain X – ray providers may provide a printed report of your imaging studies. Please bring the films and X-ray report to your consultation.

6) Ring well in advance if you cannot make your appointment as your appointment slot can be allocated to someone else who is more in need of the consultation and this will possibly free up more time for you when you make an appointment later in the day / at another time.

7) Don’t request peak times during the day.
Book the first appointment early in the morning, or come on rainy days and in the middle of the week – they are usually quieter. Mondays are usually busier.

8) Don’t request peak times during the week or the year.
Avoid short weeks such as weeks with a long weekend and the day after a public holiday – they can be very busy. The week before Easter break or Christmas can be busy as well.

9) Book ahead and please do not leave it until the last minute. If you come in as a “walk in patient” without appointment, patients with a confirmed appointment will be attended to first unless you have a medical emergency.

10) Be reaslistic in your expectation and be aware a delay is possible when we are dealing with lives of people which can be unpredictable. For example, the patient before you may have an emergency medical condition or a life crisis that needs a lot more time than that allocated.

How Can I Ensure I Can Get the Best Possible Care?

1) Choosing a new doctor can be a challenge, especially if you have moved to a new community. Asking for recommendations from colleagues, neighbours and friends is a good way to start.

2) Choose a doctor that you like and try to continue your care with the same doctor. If you swap doctors frequently, valuable clinical information may be lost and this may lead to a more unnecessary investigations and possibly delay in a timely treatment.

3) Come to your appointment well prepared with a succinct list of your main concerns and symptoms. If it is a complex medical issue, please put these into a chronological order. Please also advise your doctors an updated list of your medications and allergies. This will help your doctor manage your medical issues more efficiently and allow you more time in the consultation.

4) Be honest and truthful with your doctor. Making a diagnosis involves processing numerous pieces of information. It is a bit like putting a jigsaw puzzle together. If you intentionally withhold a piece of information, it may lead to a lot more unnecessary investigations and worse still, to a wrong diagnosis.

5) Bring a small note book to write down the advice and instructions of your doctor and follow through with the recommendations. These may include blood tests, imaging studies, life – style modifications or referral to specialist. Please also take the medications as requested. Noncompliance with medications is one of the common reasons that a patient is not getting better.

6) Please advise your doctor if you do not understand the instructions or explanations given. Sometimes, your doctor may use more simple terms and illustrations to bring a message across.  You may wish to bring someone with you to also listen.  If there is a language issue, please book an interpreter service beforehand and allow a longer appointment time slot if possible.

7) Diagnosis is a stepwise process. At times, it may take a few visits for a more complex problem to be diagnosed and treated. Sometimes a diagnosis cannot be made or a condition is not treated to your doctor’s satisfaction.  In these cases, your doctor will refer you for a further opinion.
